How to Share an Apple Notes Folder with a Team
By Taha Baalla··5 min read
Sharing an Apple Notes folder: tap the folder, tap the share icon (person with +), enter iCloud contacts to share with. Recipients must have iOS 16+ and iCloud enabled. Shared folders can have View Only or Edit access.
Step-by-Step Sharing
- Open Apple Notes on iPhone.
- Long-press the folder you want to share, or swipe left and tap the share icon.
- Tap Add People (person with + icon at top of the note list).
- Enter email addresses or names of iCloud contacts.
- Choose permission: Can Make Changes (edit access) or View Only.
- Tap Share or Send Link.
Recipients receive an iCloud invitation. Shared notes sync in real time. Changes by any participant show up within seconds.
Limitations of Apple Notes Sharing
Apple Notes sharing requires all participants to use iCloud Apple IDs. Non-Apple users cannot be invited. There is no web access for collaborators without an Apple device.
Shared folders show as separate entries in the Shared section of the folder list. Notes within them sync across all participants’ devices.
Maximum sharing: not publicly documented, but the experience degrades with many simultaneous editors. For teams of more than 4-5, consider dedicated collaboration tools.
What Apple Notes Sharing Is Good For
Small teams or family members sharing all using Apple devices. Meeting notes that multiple people add to. Shared grocery or project lists. Quick collaboration without needing accounts in third-party apps.
What It Is Not Good For
Real-time collaboration with formatted content (use Notion or Google Docs). Sharing with non-Apple users. Large team wikis. Content requiring rich media embedding beyond photos.
Nemos and Team Sharing
Nemos is a personal knowledge library, not a team collaboration tool. It does not currently support folder sharing between accounts. Use Apple Notes, Notion, or Craft for content that needs to be shared with teammates.
