How to Organize Hundreds of PDFs on iPhone

The Organization Problem With PDFs
PDFs accumulate from every direction: email attachments, Safari downloads, AirDrop receipts, scanned documents. iOS Files app provides folders, but manual folder organization requires discipline that most users don't maintain.
Better approach: organize by context, not by folder. Nemos Smart Spaces provide context-based organization. A PDF saved to Nemos lands in the relevant project or topic space with a voice note explaining what it is. Finding it later is a search, not a folder browse.
For PDFs that need to stay in Files (for sharing or editing): keep them there and create a capture in Nemos that points to them — screenshot the first page, add a voice note with the filename and context. You can find the Nemos capture and then navigate to Files when you need the original.
iOS 18 Files app: the on-device Files storage now supports tags, which helps. Still requires discipline that context-based capture in Nemos doesn't.

Where Nemos fits
Nemos is a private second brain for iPhone that solves the "I saved it somewhere" problem. Every screenshot, voice memo, PDF, and link you save gets OCR'd, transcribed, and indexed on-device using Apple Foundation Models. Find anything by typing one word. Free. Apple-only. Free on the App Store.
