Némos for Consultants: Capture Workshop Insights and Client Notes by Voice on iPhone

Consultants use Némos to capture post-workshop observations, client discovery debriefs, and travel synthesis by voice. On-device privacy for client confidential information. Full workflow guide.

The Consultant's Note-Taking Problem

Consulting work is information-intensive and fast-paced. In a single day, you might: - Attend a 90-minute client discovery meeting - Run a 2-hour workshop with 8 stakeholders - Have 3 bilateral conversations with client contacts - Travel between two offices - Take a 45-minute phone call on the commute

Manual note-taking adequate for this pace is nearly impossible. Typing during workshops breaks facilitation. Typing during discovery interviews breaks rapport. The result: vague notes from memory, written hours after the conversation, missing the detail that matters.

Voice capture solves this by removing the typing constraint. Speak immediately after each interaction, while context is fresh.

Consulting Use Cases

Post-Workshop Immediate Capture

A 2-hour workshop ends. Before the room clears or you move to the next activity:

  1. Step to the edge of the room
  2. Action Button → Némos opens
  3. Speak for 2–3 minutes: "Workshop findings: strongest consensus on [topic], significant disagreement on [issue] between [department A] and [department B], [name]'s point about [specific observation] was interesting, needs follow-up. Key actions agreed: [list]. Unanswered questions: [list]."
  4. Stop

This captures the room's energy and the unspoken subtext that the formal notes won't record.

Discovery Interview Debrief

After a stakeholder interview (not recording the interview itself — speaking your own observations afterward):

"[Name], [role]. Main concern is [issue]. Different view from what [other stakeholder] said — worth triangulating. Three key data points mentioned: [list]. Follow-up needed on [specific question]. Interesting that they mentioned [thing] unprompted — client may be more concerned about [topic] than the brief suggests."

These rich observations don't make it into typed notes because they're too time-consuming to write. Voice capture preserves them.

Travel Time Utilisation

Train, flight, taxi — uninterrupted thinking time that consultants often underuse. Voice notes during travel: - Synthesis of the day's interviews - Hypotheses forming about the client's problem - Questions to test in the next session - Ideas for the deliverable structure

Speaking analysis during travel produces thinking that would otherwise happen silently and be lost.

Deliverable Drafting

For slide decks and reports, some consultants use Némos to speak draft narrative:

"The key finding section should open with the headline insight — [specific claim] — then support it with three points: first [evidence], second [evidence], third [evidence]. The implication for the client is [business impact]."

The spoken structure often clarifies thinking in ways that typing from a blank slide doesn't. The Némos transcript becomes the outline.

Client Call Follow-Up

After every client call (5–10 seconds after hanging up): "Call with [client], [date/time]. Key updates: [list]. Actions: I need to [task by date]. They're expecting [deliverable by date]. Flag for [colleague]: [information]."

This transforms the 2-minute walk between meetings into a capture event.

Privacy for Client Confidential Observations

Consulting clients share sensitive competitive and strategic information under confidentiality agreements. Voice notes about client work should be handled accordingly.

Némos architecture: Transcription is on-device. Client information spoken into Némos doesn't pass through any third-party cloud infrastructure. This is materially different from cloud-based transcription services.

Firm data policy: Check your firm's guidelines on personal note-taking applications. Some consulting firms have specific policies on where client information can be stored.

iCloud sync: If iCloud is enabled, notes sync to Apple's servers. For the most sensitive client observations, consider whether this is appropriate under your NDA obligations.

Action Button for Consulting Pace

The consulting workday has no slack. The 2-minute window between meetings is real — using it for voice capture requires the capture method to take under 10 seconds to initiate.

Action Button (iPhone 15 Pro/16): One press from any screen, including locked. Tap record. Speak. Stop. Done before the next meeting starts.

This makes the consulting post-meeting voice note an actual practice rather than an aspiration.

Structuring Consulting Notes in Némos

Consistent naming aids recall and client folder management: - "[Client] [Date] [Type]" — e.g., "Acme 2026-05-24 Workshop 1" - Types: Discovery, Workshop, Review, Call, Travel Notes, Analysis

Create a Némos folder per engagement. Archive at engagement close.

Weekly Synthesis Note

At the end of each work week on a given engagement: - Open Némos - Record a 5-minute synthesis: what you know, what you don't know, what you think is happening, what's at risk in the deliverable

Speaking this synthesis forces you to articulate the current state of your understanding. The transcript is useful for Monday restart and for structuring the next week's activities.

FAQ

Q: Should I record client conversations directly with Némos? This depends on your NDA terms, client policies, and jurisdiction recording laws. Némos recording your own observations after a meeting is clearly appropriate. Recording the conversation itself requires explicit permission from all parties and compliance with applicable laws.

Q: How do I share insights with my team? Export Némos transcripts as text. Paste relevant excerpts into your firm's collaboration tools (Teams, Slack, SharePoint). Manual transfer — Némos has no direct integration.

Q: Can I use Némos for deliverable drafting? Yes. Many consultants use voice-first drafting (speak the narrative, edit the transcript) for first drafts of sections. Faster than starting from a blank slide.

Q: What if a client questions whether I recorded something? Your Némos notes are personal observations recorded after the meeting. They're equivalent to handwritten notes in a notebook — a personal working document, not a recording of the meeting.

Q: Does Némos work offline? Yes. Essential for planes, trains, and client sites with poor connectivity.
