Best iPhone Notes App for Freight Brokers

Freight brokers managing hundreds of loads across carriers and shippers need fast mobile notes. Nemos captures carrier intel, load exceptions, and shipper preferences on iPhone.

·By Taha Baalla

Freight brokerage is a relationship business that runs on information. Which carrier actually shows up on time? Which shipper has tight dock windows? Which dispatcher at Carrier ABC is responsive at 5pm on a Friday when a load goes sideways?

That knowledge lives in your head — or it should live in organized notes.

The Freight Broker's Information Problem

Carrier intelligence. You know Carrier XYZ is reliable on Midwest dry van but slow on flatbed. You know their dispatcher Mike responds to texts better than calls. That's hard-won knowledge from 40 loads. Is it written down anywhere? Usually not.

Load exception context. The load that was 3 hours late because the driver hit construction at mile marker 142 on I-80 — you explained it to the shipper and they were fine. When the same lane is late again in 6 months, you want to remember that explanation worked.

Shipper requirements. Shipper A requires appointment confirmation 48 hours out, will not accept drivers without pre-registration, and has a hard cutoff at 2pm on Fridays. You know this after the hard lesson of the first load. Is it in your TMS? Maybe. Is it in a form you can pull up on your phone mid-call? Probably not.

Rate negotiation notes. When you booked Carrier ABC at $2.40/mile last month and they accepted, that's a data point. You negotiate better when you know your history.

How Nemos Works for Freight Brokers

Carrier Intelligence Cards

Create a note per carrier. Build it up with every load:

``` ## Heartland Truckload — Carrier Notes MC#: 884471. DOT: 2214471. Primary lanes: IL→TX, TX→IL, Midwest dry van. Dispatcher: Mike Chen (cell: [in contacts]). Best contact: text, responds within 20 min. After-hours: dispatch number, ask for night supervisor.
Reliability Notes 95%+ on-time — 2 lates in 40 loads, both weather-related. Will call proactively if going to miss appointment. Communicative.
Rate Intelligence Spot rate accepted range: $2.10–$2.50/mile IL→TX depending on fuel. Negotiation approach: first offer is usually $2.40+. Counter at $2.15 on Tues–Wed, they'll meet you at $2.20. Don't lowball on Monday (they're shopping all week).
Load History Notes Late 2024-11-12: I-80 construction, 4 hrs late. Shipper ABC accepted, no penalty. Claim 2024-09-05: damaged pallet on load #44712. Resolved via insurance in 45 days. ```
Load Exception Notes
When a load goes sideways, capture the details immediately: "Load #44891 — Carrier late 5 hrs. Driver detained at shipper (equipment inspection). Shipper Pratt Industries notified 1400, accepted 1600 delivery. No re-delivery fee charged. Note: Pratt has 2-hr grace window on late departures."
Shipper Requirements Notes
Build a note per strategic shipper with all their operational quirks: dock hours, appointment lead time, driver check-in requirements, contact preferences, penalty thresholds. New brokers on your team can read these notes before their first call with the account.
Lane Rate History
Track accepted rates by lane over time: "Chicago→Dallas dry van: $2.10–$2.35 range Q4 2024. Market softened in Jan 2025, seeing $1.85–$2.00. Current spot: $1.92." Use this when negotiating with both carriers and shippers.
Working Through Volatile Markets
When capacity is tight, your carrier relationships and rate intelligence become a competitive advantage. Brokers with organized notes on carrier capacity by region and by lane can source faster than those reconstructing from memory.
During slow markets, shipper pricing history helps you defend margin: "I know you want $1.85 but we haven't booked under $2.00 on this lane in 18 months — here's why."
FAQ
Q: Should I store carrier or shipper contracts in Nemos? A: No — contracts belong in your TMS or document management system. Use Nemos for your operational intelligence and relationship notes that supplement official records.
Q: How do I handle FMCSA compliance notes? A: Use Nemos to note any compliance concerns you observe (expired insurance, safety rating changes, HOS patterns) and flag them for follow-up in your formal carrier vetting system.
Q: Can I use voice dictation for load exception notes? A: Yes — dictate immediately after hanging up from a difficult carrier call. Your recollection is most accurate in the next 5 minutes.
Q: How do I use Nemos during a carrier negotiation call? A: Keep your carrier note open. Before the call, review your rate history and relationship notes. During the call, note any new data points. After: update the carrier card with what you learned.
Q: What if a carrier has multiple dispatchers? A: Note each dispatcher with their name, preference (call vs. text), and availability: "Day dispatcher: Maria (direct number), text-first. Night: general dispatch line, ask for available dispatcher."
Q: Is my carrier intelligence proprietary? A: Yes — don't share your Nemos carrier notes externally. This is your competitive advantage. If you leave the company, check your employment agreement regarding customer/carrier information.
