Best iPhone Notes App for Customs Brokers

Customs brokers managing import/export filings and CBP interactions need organized iPhone notes. Nemos keeps your ruling research, client instructions, and examination notes structured so complex entries avoid compliance gaps.

·By Taha Baalla

Customs brokerage sits at the intersection of trade law, logistics, and client service. A single entry can involve tariff classification disputes, antidumping/countervailing duty exposure, Free Trade Agreement qualification, and CBP examination — simultaneously. Brokers who keep organized notes move faster and make fewer errors.

The Customs Broker's Documentation Challenge

Classification research notes. You spent 90 minutes researching the correct HTS code for a new product — reviewing HTSUS, checking binding rulings, analyzing CBP guidance. Do you have those notes anywhere searchable? Or will you re-do that research on the next shipment of the same product?

Client instructions. Importer A always uses the commercial invoice value for customs value even when there are assists. Importer B has a standing instruction to bond a specific ruling. Importer C's compliance team wants to see every entry over $500k before filing. These instructions must be captured and retrievable.

Examination notes. When CBP examines a shipment, the observations from that exam — what they checked, what they found, what they released — are valuable for future entries on the same commodity from the same supplier.

Ruling update tracking. HTSUS revisions, CBP guidance letters, and court decisions can change classification on products you file regularly. Your notes on "watch this ruling" items need to be organized.

How Nemos Works for Customs Brokers

Client Instruction Notes

Create a note per importer account. Capture standing instructions:

``` ## Northwood Imports — Client Instructions IRS/EIN: [in TMS]. Importer of record #: [in TMS]. Bond: continuous bond, carrier XYZ.
Standing Instructions - Valuation: transaction value, commercial invoice. No assists to date. - Classification: standing ruling on primary product line (see ruling #NY-2023-4471). - Binding ruling: request before importing any product not on approved list. - Examination: notify compliance VP directly if any exam or hold. Do not release on IA. - Duty payment: ACH, 10th of month following liquidation.
Special Instructions — Q4 2024 Season Increased volume October–December. Pre-clear all ocean shipments if possible. ```
HTS Classification Research Notes
When you do classification research, preserve it. Don't re-research the same product:
``` ## HTS Classification: Smart Textile Sensors Product: wearable biometric monitoring patch, textile substrate with embedded sensors Research date: 2025-02-14

Options considered: - 9019.20.00: medical equipment — rejected (not medical device, no FDA clearance) - 6117.90.90: textile accessories — considered but sensors are functional, not decorative - 8543.70.96: electrical apparatus — BEST FIT. Confirmed with binding ruling NY-H84312.

Filed under: 8543.70.96 at 0% duty. HTSA notes confirm classification. ```

CBP Examination Notes

When a shipment is examined, document immediately:

"Exam 2025-03-15, Entry #XXX-1234567-4. Intensive exam, X-ray + physical. CBP Officer Williams (Port of LA). Checked: product description, country of origin marks, quantity. Released 1600 same day. Note: this commodity is flagging for exams — file C-TPAT pre-entry documentation on future shipments."

Duty Rate Change Tracker

As Section 301, 232, 201 tariffs change and FTA rules evolve, your notes capture impact on specific clients: "HTSUS 8471.30 — laptop computers. Section 301 List 4A duty now 7.5% effective 2025-02-01. Applies to Northwood imports of model XR-series. Advise client on landed cost impact."

FAQ

Q: Should I store entry documentation in Nemos? A: No — official entry documents (CF-3461, CF-7501, commercial invoices, packing lists) belong in your broker management system. Use Nemos for your research notes, client instructions, and analysis that support entry preparation.

Q: How do I handle CITES or restricted commodity notes? A: Note permit requirements, quota status, and agency contact information for restricted commodities. Flag entries requiring permits before filing, not after.

Q: Can I use voice dictation for exam notes? A: Yes — immediately after leaving the port or hanging up from a CBP call, dictate your observations. Accuracy decays fast.

Q: How do I organize notes for a large importer with 20+ product lines? A: Create one master client note for standing instructions. Create separate notes per product line for classification research. Link them by product name in your master note.

Q: What about CTPAT security notes? A: Keep CTPAT documentation requirements per client in their client instruction note. Note any security incidents or concerns that affect future shipment planning.

Q: How do I track tariff exclusions? A: Create a "Tariff Exclusions" note per relevant product category. Log exclusion numbers, expiration dates, and which clients use them. Calendar reminders for expiration don't live in Nemos — use your phone calendar for that.
